Office Manager/Administrative Assistant Gulfshore Marine Construction Naples, FL 34110 • Hybrid work Job Overview Gulfshore Marine Construction is seeking a highly organized and proactive Office Manager/Administrative Assistant to support our team as we grow. The role is remote, with occasional on-site training and coordination to understand our operations in Marine Construction. The ideal candidate would start part time and grow with us, eventually transitioning to full time. We are looking for someone with strong communication skills and the ability to manage multiple tasks efficiently. Being highly organized is a must, as you will be working directly with the owners to streamline operations. We are looking for someone with a great attitude, that is looking to learn and grow with us! You will have the opportunity to work directly with the owners and crew leaders that have been working in marine construction their entire careers. You will also have the opportunity to work with the owners daily, allowing you to be directly involved with the growth of the company. Duties General bookkeeping/Quickbooks. Creating and sending invoices. Assist with human resources functions, including onboarding new employees and maintaining personnel records, company handbook, subcontractor forms, tracking PTO requests, etc. Develop training materials and assist in training sessions for staff development. Help develop checklists to ensure quality standards are met for all projects. Prepare and submit permit applications and prepare job packets for each project. Participate in budgeting processes by tracking expenses and assisting with financial planning. Coordinate with our marketing team to ensure marketing materials are always up to date, and assist in expanding marketing strategies. Experience The ideal candidate will have: Proven experience in administrative roles or similar positions. Experience using Quickbooks. Strong skills in schedule management and organization. Experience in human resources functions is advantageous. Knowledge of budgeting principles and vendor management practices is beneficial. Join our team as an Office Manager/Administrative Assistant!
