Position Summary The Front Desk Coordinator supports practice growth by implementing effective administrative procedures and maintaining a positive, professional presence. As a key member of the front office team, you will help create a warm, welcoming atmosphere for patients and visitors alike. You’ll work in a typical dental office setting with moderate noise levels. Proficiency in typing and computer use is essential, as well as the ability to prepare and interpret financial reports. You’ll interact frequently with patients and team members, and will need strong near vision for computer work and administrative tasks. Key Responsibilities Start the day by opening the office and preparing for patients. Maintain reliable and punctual attendance in accordance with our schedule and time-off policies. Keep the reception area clean and inviting, and greet all patients promptly and professionally. You’ll answer phones, manage voicemails and emails, and communicate with patients using practiced scripts delivered in a friendly and professional tone. Stay on top of the schedule, notify team members of patient arrivals or delays, and ensure patients complete necessary forms like medical histories and HIPAA documents. You’ll also coordinate incoming records, such as x-rays from other offices, and schedule appointments in alignment with our practice’s production goals and capacity. Referrals to specialists will be your responsibility as well, along with sending required documentation. In this role, you will accept and process patient payments, present financing options, and assist patients in making informed financial arrangements. You’ll handle insurance submissions, track outstanding claims, and follow up on pre-estimates. End-of-day reporting and reconciliation are part of your regular routine, as well as making courtesy calls for follow-up and treatment reminders. Above all, you will serve as a patient advocate—helping them understand their care, answering questions, and encouraging them to follow through on recommended treatment. You’ll also be expected to complete assigned training, operate and maintain front desk equipment, and support other front office roles as needed through cross-training.
