This role, which combines responsibilities as a Patient Service Representative and Administrative Assistant, is essential in ensuring that our patients receive the highest standard of care. Primary duties and responsibilities :

  • Serves as initial patient contact, initiates patient record and account. Greets patients and families in a welcoming and caring manner, courteously assists callers with information and directions.
  • Check patients in and out, verifies insurance/benefit coverage 48 hours prior to services.
  • Answers phones (operator, appointment, back office lines, etc.) in compliance with service goals.
  • Accurately schedules all categories of appointments – new, return/office, follow-up, consultation, etc.
  • Collects co-pays and/or payment toward account balances before services are rendered.
  • Ensures that a new patient information sheet is filled out on all patients and that necessary information changes are made at each visit.
  • Maintains the computerized appointment schedule, schedules appointments and ensures patients receive appointment reminders.
  • Record information on logs, ledgers and deposits accurately and neatly, and copies logs and records as needed.
  • Processes outgoing/incoming mail.
  • Maintains office supplies/equipment and notifies supervisor directly of any problems.
  • Maintains strict confidentiality, treats staff, physicians, patients and visitors with respect.
  • Takes required training courses as identified by administration or direct supervisor.
  • Performs other related work tasks or projects as required.
Job Qualifications :
Educational Requirements:

Candidates should have completed one of the following educational programs:

  • Diploma in Medical Administrative Assisting or a related field.
  • Associate’s Degree in Healthcare Administration or a related field.
  • Associate’s Degree in Medical Office Management or a related field.

Applicants are required to have the following:

Medical Knowledge:
  • Familiarity with
Medical Fundamentals:

Understanding of common medications, mental health medical terminology, and diagnostic procedures.

    Health Insurance Processes:

    Knowledge of health insurance processes, patient accounts, and insurance claims.

    Technical Proficiency:
      EMR Systems:

      Experience with Electronic Medical Record (EMR) systems.

        Software Skills:

        Proficiency in Microsoft Office Suite and adherence to Cybersecurity regulations.

          Patient Services:

          Competence in patient scheduling and managing medical records.

            Patient Privacy:

            Commitment to ensuring patient privacy and safeguarding Protected Health Information (PHI) in compliance with HIPAA and cybersecurity standards.

            Communication Skills:
              Verbal Communication:

              Strong communication skills and telephone etiquette.

                Written Communication:

                Effective written communication skills.

                Organizational and Detail Oriented Skills:
                  Multitasking and Precision:

                  Proficiency in handling multiple tasks under pressure with attention to detail.

                    Language:

                    English (Spanish bilingual preferred).

                    Relevant Experience:
                    • We require a minimum of 1 year of experience as an office Manager, Medical/ Receptionist and/or Patient Service Representative, preferably in a primary care/mental health setting.
