Office Administrator to be a part of the BEST Retail Sales Division in the Nation.

Pay Rate:
$15
- $20/hr Schedule Full Time 40 hr/week Monday
- Friday Primary Responsibilities Managing customer phone calls and correspondence (emails, letters, etc.
). Communicate with homeowner between Contract signing and start of production. Creating and keeping customer records updated in our CRM software with all relevant contract and installation information. Uploading documents into our CRM software. Assisting Production Manager and General Manager with installation schedule. Creating Work Order and Material Order for Contracted jobs. Keeping all spreadsheets and Accounts Receivable documents up to date. Contact homeowners to Facilitate the payment process and ensure payments are made in a timely manner. Remind them of outstanding balances. Coordinating collections with homeowners and production staff. Entering payments in our CRM software. Manage payments made by check and make weekly bank deposits. Submit pay for subcontractors. Monitor the progress of each job’s workflow in the CRM system, and keep Sales Managers informed of each status. Upload completed contract packets into CRM system. Manage the onboarding process of new employees. Create onboarding profile and paperwork as needed. Collect and verify proper identification to complete and approve the I9 process. Follow up with issues in the onboarding process. Provide assistance for new employees to access operating systems. Manage the offboarding process for exiting employees. Complete the proper steps to remove employees’ access to systems. Record accurate reason and date of termination. Complete termination paperwork to be sent to the employee. In a timely manner process timecards to payroll for sales representatives. Provide basic office administration duties. Position Requirements Outstanding communication skills. Excellent organization and planning capabilities, strong attention to detail. Highly self-motivated and goal-oriented with the ability to multitask. Excellent time management skills with a proven ability to meet deadlines. Ability to function well in a fast-paced environment. Proficient with basic computer functions in Microsoft Office or similar programs. Must have reliable transportation and the ability to travel.
