Full Job Description Position Overview:

Wellgistics Health, Inc. is seeking a proactive and organized Administrative Assistant / Receptionist to support our Executive Team, with a direct reporting line to the Director of HR. This role is crucial in ensuring smooth daily operations and providing exceptional administrative support. The ideal candidate will have strong communication skills, a friendly demeanor, and a commitment to maintaining confidentiality.

Key Responsibilities:
Reception Duties:
  • Greet and assist visitors, patients, and team members with professionalism and courtesy.
  • Manage incoming calls, directing them to the appropriate personnel, and taking messages as needed.
  • Maintain a tidy and welcoming reception area.
Administrative Support:
  • Provide administrative support to the Executive Team, including scheduling meetings, managing calendars, and organizing travel arrangements.
  • Prepare and organize documents, reports, and presentations as required.
  • Assist in the coordination of special projects and events for the Executive Team.
Office Management:
  • Oversee office supplies inventory, placing orders and coordinating deliveries as necessary.
  • Ensure all office equipment is functioning properly and report any issues for maintenance.
  • Manage incoming and outgoing mail and packages.
Communication:
  • Facilitate effective communication within the team and across departments.
  • Handle confidential information with discretion and professionalism.
  • Assist in the preparation and distribution of internal communications and updates.
Qualifications:
  • High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
  • Proven experience as an administrative assistant or receptionist, preferably.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
  • Strong organizational skills and attention to detail.
  • Excellent interpersonal and verbal communication skills.
  • Ability to manage multiple tasks simultaneously and meet deadlines.
