Full Job Description Job Summary:

The Office Manager will be responsible for managing office administrative functions, supporting project coordination, handling accounts payable and receivable, and overseeing contracts and vendor relationships. The ideal candidate will be highly organized, resourceful, and proficient in QuickBooks.

Key Responsibilities:
Invoice Management :

Process incoming and outgoing invoices, track payments, and ensure timely billing and collections.

Project Coordination :

Assist with scheduling, task tracking, and communication between internal teams and external partners to ensure projects stay on schedule.

Administrative Support :

Maintain office supplies, organize digital and physical files, coordinate meetings, and provide general administrative support to staff.

Contract Management :

Maintain and organize contracts, ensure compliance with terms and deadlines, and coordinate renewals and updates.

QuickBooks Management :

Utilize QuickBooks to manage financial records, generate reports, and reconcile accounts.

Vendor & Client Liaison :

Communicate with vendors, clients, and subcontractors to manage relationships and resolve issues.

Office Operations :

Ensure the office operates smoothly, identifying areas for efficiency and improvement.

Requirements:

Proven experience as an Office Manager, Project Coordinator, or similar administrative role Proficiency in QuickBooks is required Strong understanding of invoice processing and contract management Excellent organizational and time management skills Proficient with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace Strong written and verbal communication skills Ability to work independently and as part of a team Attention to detail and problem-solving mindset
