Our perfect candidate is seeking a long-term position, must be able to multitask, and is a self-starter, flexible with duties, and available to work 8:00-5:00 Monday through Friday. This position entails full management of the office including: The Office Manager is responsible for ensuring that day-to-day operations are performed effectively and accurately. This person must have excellent communication, problem-solving, and managerial skills as they are responsible for all activities, projects, and employees in the office. This position supports the Division Manager and works with all personnel.
Essential Functions:
Perform or oversee all administrative aspects of the office, including accounting support, data entry, billing, inventory, record-keeping, and preparing correspondence. Provide support to multiple offices, supervisors, and clerical staff. Process invoices, update CRM and Account Receivables. Update and track documentation required to complete and submit jobs for billing. Review the weekly Accounts Receivables report for customer invoice payment and collection. Provide executive level administrative support by conducting research, handling information requests, review/track/analyze budgets, and maintain records and databases essential to project management. Update new hire information, employee files, personnel changes, drug testing, and employee issues. Perform other duties as required and/or assigned. This position is primarily sedentary, with some filing or lifting required. Must be able to bend and lift and carry up to 20 pounds. Qualifications Strong executive presence and professionalism. Strong computer skills with the ability to create spreadsheets for revenue tracking and reporting as well as developing presentations. Strong organizational and multitasking skills. Associates degree or equivalent combination of education and experience a plus 2 years related construction administration experience a plus Strong attention to detail and the ability to produce work that is accurate, complete, and error-free required. Ability to communicate effectively and work productively with others. Ability to prioritize and manage multiple priorities and deadlines. Other success factors include reliability, positive attitude, professionalism, and an eagerness to learn. Proficient in Quick Books Online Ability to use MicroSoft Office Suite including Word, Excel, and Outlook. Knowledge of bookkeeping practices and terms •
