Full Job Description Job Summary:

Pay is highly competitive and TBD based on skills and experience. We are seeking a detail-oriented and organized Office Coordinator to join our dynamic team. The ideal candidate will be responsible for managing daily administrative functions, including dispatching, invoicing, billing, payroll, human resource compliance, and the setup and implementation of the Housecall Pro software system. This role is crucial in ensuring efficient office operations and enhancing productivity as our company expands. Must Have Quick Books Experience.

Key Responsibilities:
Dispatching:

Coordinate and schedule field technicians for service calls. Communicate effectively with technicians and customers to resolve scheduling conflicts and adjustments.

Invoicing and Billing:

Prepare and send invoices to clients in a timely manner. Handle accounts receivable and ensure accurate billing information. Process payments and manage customer accounts, addressing any billing inquiries.

Payroll Management:

Process payroll accurately and on time for all employees. Maintain payroll records and ensure compliance with relevant laws and regulations. Address payroll-related inquiries and assist employees with payroll issues.

Human Resource Compliance:

Assist in maintaining compliance with labor laws and regulations. Support the recruitment process, including job postings and scheduling interviews. Help manage employee onboarding and maintain personnel records.

Housecall Pro Software Implementation:

Set up and implement Housecall Pro software for dispatch and billing operations. Train staff on the usage of the software and provide ongoing support. Troubleshoot any software-related issues and work with the service provider as needed.

QuickBooks Management:

Must have QuickBooks experience Utilize QuickBooks for financial record-keeping, including invoicing, accounts payable, and accounts receivable. Generate financial reports and assist with budgeting and forecasting.

Administrative Support:

Maintain organized records of invoices, dispatch logs, payroll information, and customer communications. Assist with other administrative tasks as required, including answering phone calls, managing emails, and maintaining office supplies. Collaborate with management to improve office processes and efficiency.

Qualifications:
BASIC PLUMBING KNOWLEDGE IS A MUST. MUST HAVE QUICKBOOKS EXPERIENCE

Proven experience as an office administrator or in a similar role, preferably in the plumbing or service industry. Strong proficiency in using office software, including Microsoft Office Suite. Experience with QuickBooks is required. Familiarity with Housecall Pro software is highly desirable. Knowledge of payroll processing and human resource compliance practices. Excellent organizational and multitasking skills. Strong communication and interpersonal abilities. Attention to detail and problem-solving skills. Ability to work independently and as part of a team.
