Office Manager/Executive Assistant HR Dynamics, Inc Vero Beach, FL 32960 HR Dynamics is recruiting for an industry-leading, marine-based organization in Vero Beach that wants to add an Office Manager/EA to its team. The Office Manager/EA will be responsible for providing executive assistance to the owner and ensuring that daily operations run efficiently. This role is ideal for someone who thrives in a hands-on environment, balancing administrative leadership with customer service and operational coordination. This role requires a strong sense of composure, resilience, and the ability to navigate challenging conversations confidentially and tactfully. Responsibilities Manage the owner’s calendar, appointments, and business travel (as needed) Organize and maintain confidential personal files and records Handle select tasks such as insurance renewals and pricing comparisons Maintain accurate records of income, expenses, and receipts for both the business and the owner’s personal finances Oversee payroll processing and reporting Process vendor invoices, customer payments, and reconciliations using QuickBooks and/or MS Excel Oversee daily office operations, calendar management, and scheduling Maintain accurate service records, job orders, and billing documentation Order office and shop supplies; maintain parts inventory and vendor relationships Monitor invoices, process payments, and assist with payroll and basic bookkeeping Ensure compliance with local regulations, safety standards, and internal procedures Act as a gatekeeper and right-hand to the owner, managing calendars, communications, and key priorities Handle email correspondence, draft quotes, and prepare reports or proposals Coordinate meetings, vendor visits, and team scheduling Handle minor customer concerns with professionalism and tact
Qualifications:
Must have 5 + years’ experience working within a Bookkeeping, EA, and/or Office Administration role Experience managing both business and personal finances is a major plus Must have a high level of proficiency in QuickBooks and MS Excel, as well as experience using MS Office Familiarity with marine, automotive, or field-service environments, helpful High level of discretion and integrity when handling sensitive personal and financial information Strong communication and multitasking skills High level of organizational skills Successfully pass a Level I Background and Credit screen Salary ranged from $52,000 – $62,000/year , commensurate with experience and education.
