Position Overview:
The Office Manager will be responsible for overseeing the daily administrative and operational functions of our dermatology practice. This role will require a strong understanding of office management, customer service, and the specific needs of a cosmetic and medical dermatology office. The ideal candidate will be an excellent communicator, highly organized, and able to multitask in a fast-paced environment.
Key Responsibilities:
Office Operations Management:
Supervise front office staff, ensuring efficient and friendly service to all patients. Oversee appointment scheduling, ensuring optimal patient flow and managing patient wait times. Ensure the office is fully stocked with necessary supplies and equipment; manage inventory and place orders as needed. Implement and maintain office policies and procedures to ensure compliance with healthcare regulations and industry standards.
Patient Relations:
Act as the main point of contact for patient inquiries, concerns, and scheduling issues. Ensure excellent patient service, addressing concerns and providing information on medical and cosmetic dermatology services. Manage patient check-in/check-out processes, including verification of insurance and patient demographics.
Financial Administration:
Manage patient billing, insurance verification, and coding for dermatology services, both medical and cosmetic. Work closely with medical billers and insurance representatives to resolve billing issues. Monitor and report on practice revenue and expenses, ensuring accurate financial records and handling deposits.
Staff Management & Development:
Assist with recruitment, hiring, and training of office staff. Develop and schedule training sessions to keep the team informed of new procedures, policies, and technology. Foster a positive work environment, ensuring staff morale and performance are aligned with company goals.
Regulatory Compliance & Reporting:
Ensure the practice complies with all relevant state and federal regulations, including HIPAA, OSHA, and other healthcare standards. Maintain patient records in compliance with privacy laws and regulatory requirements. Assist in periodic audits to ensure operational efficiency and legal compliance.
Marketing & Growth:
Collaborate with marketing team to support patient acquisition and retention strategies, including social media, promotions, and community outreach. Assist in implementing patient satisfaction surveys and using feedback to enhance the patient experience.
Qualifications:
Previous experience as an Office Manager, Practice Manager, or similar role in a healthcare setting, preferably in a dermatology, cosmetic, or medical office. Strong understanding of medical office procedures, insurance verification, billing, and coding (experience with dermatology-specific billing a plus). Excellent communication, customer service, and organizational skills. Proficient in office management software (EHR/EMR systems, Microsoft Office, etc.) and ability to learn new technologies quickly. Strong leadership skills with experience managing teams and fostering a collaborative environment. Ability to prioritize tasks and manage time efficiently in a fast-paced, dynamic setting. High school diploma required; Associate’s or Bachelor’s degree in business administration or healthcare management preferred. Knowledge of medical and cosmetic dermatology treatments a plus.
