Full Job Description Responsibilities:
Manage day-to-day office operations, filing, and correspondence. Serve as the first point of contact for clients for office staff related to day-to-day operations, password solutions, IT issues, Internet issues, etc Maintain accurate records of contracts, permits, invoices, and vendor information. Assist with payroll processing, accounts payable/receivable, and basic bookkeeping. Order and manage office supplies. Support marketing efforts, including social media updates and customer follow-ups. Ensure compliance with company policies and local/state regulations. Handle HR-related tasks such as onboarding, time tracking, and employee records. Assisting and handling Monthly Bank Reconciliation(s) Reconciling Company and CEO Credit Card statements. Filing & Paper Management of all legal correspondence, vehicle registrations, vehicle insurances, company insurance policies, Subcontractor insurance policies. Maintaining Vendor Relations. Serve as the primary point of contact for clients, suppliers, and subcontractors. Maintain office supplies and equipment, ensuring everything is in working order. Handle customer inquiries and resolve issues in a professional manner. Organize and schedule meetings and appointments. Review and approved ADP timecards for all employees and verify for approval. Managing company issues credit cards and revieing statements for approved and non approved purchases. Managing employee purchase receipts for reimbursement and for reconciliation purposes. Daily sales postings, preparation of sales tax reports, bank statement reconciliation, weekly/monthly/year-end reporting and preparation for CPA’s Review. Maintain office filing system accurate and up to date. Provide administrative support to all office staff. Manage legal cases by filing and maintaining all legal correspondence related to projects which mechanics liens. Assistant to CEO in misc. work related tasks. Reports, at a minimum, to include: P&L, Sales Reports, Balance Sheet, and more, on a weekly, bi-weekly, monthly, and quarterly basis. Work directly with Accounting Firm, Attorneys, and Venders. Requirements Familiar with construction industry & Construction lien laws Above average proficiency with computers, Microsoft Office (Word, Excel, Outlook, Internet Explorer), QuickBooks, general office equipment (fax, copiers, scanners, etc.) Ability to perform several tasks concurrently with ease. Ability to prioritize ever changing demands and tasks. Able to follow instructions with minimal guidance and demonstrate professional judgment and decision making. Ability to communicate clearly and concisely. Very strong organizational, procedural and interpersonal skills. Ability to adapt to and embrace change. Understanding of accounting fundamentals. Prior experience as a bookkeeper in a professional firm preferred.
Qualifications:
Proven experience as an Office Manager, Administrative Assistant, or similar role (construction or roofing industry preferred). Strong organizational and multitasking skills. Excellent written and verbal communication. Proficiency in Microsoft Office Suite and QuickBooks (or similar accounting software). Familiarity with construction management software (e.g., JobNimbus, Buildertrend, or similar) is a plus. Ability to work independently and as part of a team. High school diploma or equivalent required; associate or bachelor’s degree preferred. Understanding of Construction Lien laws, financial reporting, tax reporting forms, and enjoys working with numbers Strong written and verbal communication skills and a high-level of professionalism Ability to take on multiple projects simultaneously and work independently Must be authorized to work in the U.S.
