The Office Administrator position entails orchestrating multifaceted support for our office personnel, necessitating adept management of diverse tasks concurrently. We are searching for a qualified office coordinator to help keep our workplace running efficiently. The office coordinator will provide general administrative support to our team, manage calendars for common spaces, restock supplies, and submit maintenance requests as needed. The Office Admin will also serve as the first point of contact for many of our clients, greeting office visitors and answering phone and email inquiries. A personable and detail-oriented individual will do well in this role. We seek a self-driven candidate distinguished by exemplary time management and critical-thinking abilities. This role presents an excellent opportunity to engage with a variety of projects and provide comprehensive office assistance.
Key Responsibilities:
Manage day-to-day office operations, ensuring smooth workflows and exceptional customer service. Greet visitors, handle incoming calls, and provide professional communication via phone, email, and in person. Oversee service reports, create opportunities, send estimates, and schedule work orders. Support sales activities, including assisting with sales calls and client follow-ups. Manage invoicing, accounts receivable, and accounts payable to ensure timely payments. Assist in developing and implementing office policies and procedures. Coordinate office maintenance, supplies, and facility needs. Track and manage fleet projects and cellular accounts. Maintain organized filing systems and update databases regularly. Support special projects and events as assigned by leadership.
Qualifications:
Proven experience in office administration, administrative coordination, or sales support roles. Strong communication, organizational, and interpersonal skills. Familiarity with office management procedures and basic accounting principles. Proficient in Google Workspace and Microsoft Office; Salesforce experience is a plus. Ability to occasionally lift 50 lbs and perform physical tasks like bending, squatting, and standing. High school diploma or GED required.
Preferred Skills:
Leadership abilities and a proactive approach to problem-solving.
