Office Manager Rafael US Defense and Sustainment Orlando, FL 32824 Job Summary The Office Manager is responsible for overseeing the smooth and efficient operation of the front office and general administrative functions. This role supports key business areas including HR administration, basic accounting, and facilities management. The ideal candidate will bring strong office management experience and thrive in a fast-paced, team-oriented environment. This position requires a high level of discretion, attention to detail, and the ability to multitask across departments and priorities. Candidates must be willing to obtain or currently hold a Secret Clearance. Essential Duties and Responsibilities Office & Facilities Management Oversee daily office operations, including general organization and cleanliness of shared workspaces and breakrooms. Manage relationships with facilities vendors and coordinate maintenance, repairs, and inspections. Order and maintain office, kitchen, and facility supplies as needed. Ensure adherence to security and safety protocols across all office and facility areas. Coordinate company meetings and events, including logistics, catering, and post-event clean-up. Vet and process visitors to the company in coordination with the Trade Compliance Office, ensuring adherence to U.S. export laws and regulations. Human Resources Administration
- Support onboarding/offboarding processes, maintain personnel files, and update internal HR systems.
Coordinate benefits communication and support open enrollment processes. Help manage employee timekeeping and leave tracking in coordination with HR. Support employee engagement activities and internal communication efforts. Accounting Support Support the accounting team by processing invoices, reconciling office expenses, and assisting with payroll-related data entry. Track and submit monthly credit card statements and coordinate expense approvals. Assist with travel reimbursements and manage internal documentation for audit compliance Executive & Staff Support Provide executive-level administrative support to the Senior Management Official (SMO) and other senior staff. Schedule internal/external meetings, book travel, and prepare materials or reports as requested. Serve as a point of contact for internal administrative needs and provide cross-functional support as required. Office Coordination Serve as a point of contact for external vendors, including vending machine service, first aid cabinets, pest control, and shredding services. Schedule regular maintenance and supply replenishment for company copiers and printers. Education and/or Experience 5 years of Office Management experience required. Associate degree required Experience in a manufacturing environment preferred.
Proficiency in Microsoft Office programs:
Word, Excel, PowerPoint. Basic Employment Requirements Knowledge of office equipment and facilities maintenance procedures. Understanding of travel booking and reimbursement procedures. Ability to work independently with minimal supervision and collaboratively in a team environment. Strong written and verbal communication skills, with the ability to define and communicate issues clearly and concisely. High attention to detail and organizational focus.
