Full Job Description Position Summary:

The Receptionist/Office Administrator will play a key role in managing the front desk, handling client interactions, maintaining organized office operations, and providing administrative support to our accounting team. This position requires excellent communication skills, attention to detail, and the ability to handle multiple tasks efficiently.

Key Responsibilities:
Reception Duties:

Greet clients and visitors with professionalism and warmth. Answer and route incoming calls promptly and accurately. Manage incoming and outgoing mail and deliveries. Maintain a clean, organized, and welcoming reception area.

Administrative Support:

Schedule client appointments and manage team calendars. Assist with client onboarding, including intake forms and document collection. Organize and maintain physical and digital client files. Prepare, proofread, and format letters, reports, and documents. Assist in tracking deadlines for tax filings, business registrations, and renewals. Handle confidential information with integrity and discretion.

Office Management:

Monitor and order office supplies to ensure smooth operations. Coordinate office equipment maintenance and service calls. Assist with billing, invoice tracking, and basic bookkeeping entries (optional, if experienced). Support team with special projects, client follow-ups, and marketing mailings as needed.

Skills and Qualifications:

High School diploma or equivalent required; Associate’s degree preferred. 2+ years of experience in a receptionist, administrative assistant, or office management role (experience in a CPA, accounting, or professional services firm is a plus). Strong communication and interpersonal skills. Proficient with Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment. Ability to prioritize tasks, meet deadlines, and manage multiple responsibilities. Professional appearance and demeanor. Strong organizational skills and keen attention to detail. Comfort working with confidential and sensitive information. Preferred (but not required): Experience with accounting software (QuickBooks, Drake, Lacerte, or similar). Familiarity with client management systems (CRM). Basic understanding of tax deadlines and CPA firm workflow cycles.
