Position Summary RJWA, Inc. is seeking a highly organized and proactive Office Administrator to support our team in maintaining seamless administrative operations across all active projects. This role plays a critical part in coordinating the filing, tracking, and management of land use and zoning applications across multiple jurisdictions. The ideal candidate will bring demonstrated experience in planning and zoning procedures, strong administrative skills, and the ability to navigate local government processes with precision and professionalism.
Key Responsibilities Administrative Operations:
o Oversee day-to-day office functions, including scheduling, correspondence, document formatting, and internal coordination. o Maintain and continuously improve structured filing systems-both digital and physical-to ensure easy retrieval of project and administrative records.
Jurisdictional Application Management:
o Prepare, submit, and track planning, zoning, and entitlement applications across various city and county jurisdictions. o Ensure all filings are compliant with local regulations, deadlines, and procedural requirements. o Maintain a centralized log of submittals, status updates, and jurisdictional responses.
Planning and Zoning Support:
o Assist in the preparation of support materials for site plans, zoning map amendments, comp plan amendments, and other entitlement filings. o Coordinate with municipal departments to clarify submission requirements and facilitate review processes. o Attend or help coordinate pre-application meetings as needed.
Internal & External Communication:
o Act as a liaison between RJWA, clients, consultants, and government staff to ensure consistent and timely communication. o Format and distribute official correspondence and submittal packages on behalf of the firm. o Handle inbound administrative inquiries with professionalism and responsiveness.
Project Reporting & Updates:
o Compile and generate weekly status reports outlining application milestones, pending items, and jurisdictional feedback. o Present updates and administrative summaries directly to the General Manager and project teams to support informed decision-making.
Qualifications Education:
An associate’s degree preferred in Business Administration, Urban Planning, or a related field.
Skills:
Proficiency in Microsoft Office Suite and document management systems. Strong organizational and multitasking abilities. Excellent written and verbal communication skills. Familiarity with local government application procedures is a plus.
Preferred Qualifications:
Prior experience working directly with municipal or county planning departments, particularly in the context of land use and development review. Strong working knowledge of local zoning ordinances, land development codes, and jurisdictional entitlement procedures.
