Full Job Description Opportunity Summary:

We are seeking a highly organized and proactive individual to fill the dual role of Administrative Assistant and Office Manager. This position is crucial for ensuring the smooth and efficient operation of our office. The ideal candidate will be a versatile problem-solver with excellent communication skills, a strong attention to detail, and the ability to manage multiple tasks simultaneously. You will be the central point of contact for office operations, providing administrative support and maintaining a positive and productive work environment. This position works closely with the executive team and human resources and must have the highest regard for confidentiality.

Key Responsibilities:
Administrative Assistant Duties:
General Administrative Support:

Provide comprehensive administrative support to staff, including scheduling appointments, managing calendars, preparing correspondence, and handling incoming and outgoing mail.

Communication Management:

Answer and direct phone calls, emails, and other inquiries in a professional and timely manner.

Meeting Coordination:

Schedule and coordinate meetings, prepare agendas (as needed), organize catering (as needed) and ensure meeting rooms are properly equipped.

Document Management:

Organize and maintain electronic and physical filing systems, ensuring accuracy and confidentiality.

Travel Arrangements:

Arrange travel itineraries, book flights and accommodations, and process travel expense reports.

Data Entry and Reporting:

Input data, generate reports, and maintain accurate records using various software applications.

Expense Reporting:

Process and track expense reports, ensuring accuracy and adherence to company policies.

Office Manager Duties:
Office Operations:

Oversee day-to-day office operations, ensuring a clean, organized, and efficient work environment.

Vendor Management:

Manage relationships with vendors and ensure timely delivery of a wide variety of supplies and services.

Inventory Management:

Maintain office supplies, kitchen and snacks, business cards, order supplies as needed, and manage equipment maintenance.

Facilities Management:

Coordinate with building management for maintenance and repairs, and ensure office equipment is functioning properly.

Office Budget Management:

Assist in the development and management of the office budget, track expenses, and identify cost-saving opportunities.

Onboarding/Offboarding:

Assist with the onboarding process for new employees, including workspace setup and necessary paperwork. Assist with offboarding procedures.

Office Safety and Security:

Ensure compliance with safety regulations and maintain a secure office environment.

Event Planning:

Organize and help coordinate office events, meetings, and social gatherings.

Policy Implementation:

Enforce office policies and procedures.

Mail and Shipping:

Manage incoming and outgoing mail, packages, and shipments in a timely manner.

Qualifications:

Education & Experience High School Diploma or equivalent required; Bachelor’s degree preferred. Proven experience as an Administrative Assistant and/or Office Manager. Experience with office equipment (printers, copiers, etc.) Experience with facilities management. Experience with Concur, ADP, and Google Work Space is a plus.

Skills & Competencies:

Excellent organizational and time management skills. Strong communication and interpersonal skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Suite. Ability to multitask and prioritize tasks effectively. Strong problem-solving and decision-making skills. Ability to work independently and as part of a team. Attention to detail and accuracy. Knowledge of basic accounting principles. Ability to anticipate next steps and proactively drive actions.
