Dental Office Administrator Serenity Grove Dental Loxahatchee, FL 33470 Serenity Grove Dental , a brand-new practice located in Wellington-Royal Palm Beach area, opened its doors in January 2025. At Serenity Grove Dental, our mission is to provide exceptional patient care in a spa-like environment. We are seeking a friendly, outgoing, and organized Dental Office Administrator to create a comfortable and smooth dental experience for patients. This role is integral to maintaining a productive office processes by managing appointments, treatment plans, insurance, payments, and supporting the overall administration of the practice. As a compassionate and honest team player, you will communicate effectively with both patients and staff to create a comfortable atmosphere. Position Summary:

This position requires someone who can maintain a welcoming front office environment while efficiently managing administrative tasks and financial responsibilities. The ideal candidate will have strong organizational skills and the ability to handle multiple priorities in a fast-paced environment. This role serves as the first point of contact for patients and requires excellent customer service skills combined with strong administrative capabilities.

Primary Responsibilities:
Patient Relations:
  • Warmly greet and check in patients
  • Answer and manage multiple phone lines
  • Respond to patient inquiries and concerns
  • Provide exceptional customer service
  • Maintain patient confidentiality
  • Coordinate patient communications
  • Handle patient correspondence
  • Manage patient recall system
Financial Duties:
  • Present treatment plans and financial arrangements
  • Process payments and end-of-day reconciliation
  • Handle insurance verification and submissions
  • Process insurance claims
  • Follow up on denied claims
  • Manage collection procedures
  • Track outstanding balances
Scheduling:
  • Manage appointment scheduling
  • Maintain efficient scheduling template
  • Confirm appointments
  • Handle cancellations and reschedules
  • Coordinate emergency appointments
  • Optimize doctor’s schedule
  • Monitor and manage recall system
Administrative Tasks:
  • Maintain electronic patient records
  • Process new patient documentation
  • Verify insurance eligibility
  • Update patient information
  • Generate daily reports
  • Manage office correspondence
  • Order front office supplies
  • File and maintain patient records
  • Other duties may be assigned
Required Qualifications:
  • High school diploma required; college degree preferred
  • Minimum 2 years of dental front office experience
  • Fluent communication: English and Spanish
  • Proficiency in dental practice management software
  • Knowledge of dental insurance and coding
  • Experience with electronic health records
