Our team is passionate about excellence in landscape design, installation, and maintenance. Job Summary We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for managing office operations, supporting staff, and ensuring that the office runs smoothly and efficiently. This role requires a proactive individual who can handle multiple tasks while maintaining a high level of professionalism and confidentiality. This position reports directly to the HR Manager. Duties Manage and maintain calendars, scheduling appointments and meetings for team members. Oversee daily office operations, ensuring a clean and organized workspace. Utilize QuickBooks for basic accounting tasks, including invoicing and expense tracking. Provide personal assistant support to executives as needed, including travel arrangements and correspondence management. Answer phone calls with professionalism, directing inquiries to the appropriate personnel while maintaining excellent phone etiquette. Greet and assist clients and visitors at the front desk Assist in the preparation of reports, presentations, and other documents using Microsoft applications. Maintain office supplies inventory by checking stock levels and placing orders as necessary. Manage incoming/outgoing mail and deliveries Implement organizational systems to improve efficiency and productivity within the office. Support HR Manager with administrative projects and employee documentation Skills Strong calendar management skills with the ability to prioritize tasks effectively. Proficient in office management practices and procedures. Experience with QuickBooks is required. Excellent typing skills with attention to detail in documentation. Previous experience as a personal assistant is a plus. High level of computer literacy with proficiency in Microsoft applications. Familiarity with phone systems and strong phone etiquette skills. Exceptional organizational skills with the ability to manage multiple tasks simultaneously.

Qualifications:

4+ years of administrative or receptionist experience (construction or landscape industry a plus) Strong communication and interpersonal skills Proficient with Microsoft Office Suite (Word, Excel, Outlook) Professional appearance and demeanor Bilingual (English/Spanish) preferred, but not required
