Job Description
Description We are looking for an organized and proactive Office Manager to join our team on a contract basis in Boca Raton, Florida. In this role, you will oversee administrative operations, including contract creation and data management, while ensuring the smooth functioning of the office. This position requires a detail-oriented individual with strong multitasking abilities and a willingness to learn new systems, such as Procore.
Responsibilities:
- Prepare and manage subcontractor and client contracts using Procore software, with training provided if necessary.
- Perform daily administrative tasks, including data entry and maintaining organized office records.
- Support licensing processes and ensure compliance with required documentation.
- Handle accounts payable and accounts receivable tasks efficiently.
- Manage inbound calls and provide timely responses to inquiries.
- Assist with scheduling and coordinating office activities to maintain productivity.
- Utilize accounting and CRM software to support financial and customer relationship processes.
- Ensure the office environment is well-maintained and supplies are adequately stocked. Requirements
- Proven experience in office management or a similar administrative role.
- Familiarity with accounting software, such as ADP or Concur, is highly desirable.
- Ability to quickly learn and use Procore software for contract management.
- Strong skills in accounts payable, accounts receivable, and general accounting functions.
- Proficiency in CRM systems and other organizational tools.
- Excellent communication skills, including answering and managing inbound calls.
- Detail-oriented with the ability to manage multiple tasks and deadlines.
- Knowledge of licensing processes and administrative compliance is a plus.
