Office Manager – Home Health Agency True Kare Home Health Inc. Palm Beach Gardens, FL 33410 About the Role We are seeking a proactive, organized, and experienced Office Manager to oversee the daily administrative operations of our growing Home Health Agency . This in-office position plays a vital role in ensuring our team functions efficiently, our patients receive seamless support, and our clinicians and staff are well-coordinated. You will be responsible for leading office operations, supporting the intake process, handling referrals, and ensuring compliance with healthcare regulations. This position works closely with the clinical team, intake staff, referral sources, and insurance providers to maintain a high level of service and professionalism. Key Responsibilities Supervise and support the administrative team, ensuring smooth office operations. Oversee and assist with the patient intake process and referral management. Serve as the point of contact for patients, providers, clinicians, and insurance companies . Maintain patient records and ensure compliance with confidentiality and regulatory standards. Coordinate initial assessments, patient scheduling, and documentation submissions. Monitor office workflow and identify opportunities for efficiency and process improvements . Ensure proper processing of insurance authorizations and billing documents. Manage phone systems and support high volumes of communication professionally. Assist in recruiting, onboarding, and training new administrative staff. Support leadership with data tracking, reporting, and other administrative projects. Qualifications High school diploma required; Associate’s or Bachelor’s degree preferred . Minimum of 2 years’ experience in an administrative, office management, or healthcare coordination role . Prior experience in a Home Health or medical office setting strongly preferred . Strong organizational and multitasking skills with attention to detail. Excellent interpersonal, verbal, and written communication skills. Critical thinker with a problem-solving mindset and leadership qualities. Proficiency in Microsoft Office (Word, Excel, Outlook) and EMR or agency-specific software. Ability to handle confidential information with professionalism and discretion.
