Aivirtrix is seeking a highly organized and adaptable Office Manager to support our growing team in Trinity, FL. This is a key role in ensuring the smooth operation of our office and supporting financial and administrative aspects of ongoing construction projects. The ideal candidate is proactive, detail-oriented, and comfortable working in a fast-paced environment where responsibilities span across project accounting, vendor coordination, executive support, and occasional marketing contributions. Key Responsibilities:
Administrative Management:
- Oversee daily office operations and maintain efficient administrative workflows
- Manage digital and physical filing systems, company records, and internal communication
- Support cross-functional teams with coordination and documentation
Project Accounting & Job Costing:
- Track and reconcile project financials, including vendor invoices and change orders
- Collaborate with project managers to maintain job cost accuracy and financial reporting
- Oversee billing cycles, collections, and subcontractor payment applications
Subcontractor & Vendor Management:
- Maintain subcontractor compliance records including insurance, W-9s, and contracts
- Track and update change orders and contract agreements
- Coordinate onboarding and communication with subcontractors
Executive & Leadership Support:
- Provide direct administrative support to company leadership
- Assist with scheduling, reporting, and strategic planning tasks Marketing & Social Media (As Needed):
- Assist with creating and scheduling social media content
- Support basic marketing initiatives and maintain brand consistency
Qualifications:
- 3+ years of administrative experience, preferably in the construction or contracting industry
- Strong understanding of project accounting and job cost tracking
- Proficiency in construction software (QuickBooks, Procore, Buildertrend, or similar platforms)
- Skilled in Microsoft Office Suite and Google Workspace
- Excellent communication, organization, and multitasking abilities
- Self-motivated, dependable, and flexible in a dynamic environment
