This role is essential in overseeing administrative functions and ensuring operational efficiency within our firm. The Office Administrator will play a key role in fostering a collaborative environment that supports both personal and professional growth. Responsibilities Professionally greet customers and vendors in-person and on the phone. Take weekly inventory of office supplies, manage orders Prepare FedEx and UPS mailings. Maintain and update documents on the server. Scan and add new files to clients’ folders. Securely email documents to clients via Sharefile. Prepare folders with labels and create new tax year folders on the server. Scan clients’ documents into their folders on the server. Send clients copies of their tax returns and authorization forms for signatures Deposit check and accept credit card payments from clients. Handle Powers of Attorney (POA). Print and mail checks as requested by remote staff. Assist remote staff with printing/scanning documents and other tasks. Assist staff with administrative tasks and offer help as needed Oversee Sharefile and Rightsignature. Assist with email blasts as directed by the director. Post automatic billings in Axcess. Manage tax data Perform other related duties as assigned. Requirements Excellent organizational and time management skills Strong verbal and written communication skills Proficient in Microsoft Office Suite and accounting software Ability to work independently and as part of a team Attention to detail and accuracy in data entry and record-keeping Strong problem-solving skills and ability to handle multiple tasks simultaneously Ability to maintain confidentiality of sensitive information
Education and Experience:
Required:
High school diploma or equivalent Preferred Associate’s or Bachelor’s degree in business administration, accounting Previous experience in an administrative role, preferably within an accounting or financial services firm. Familiarity with bookkeeping and accounting principles is a plus.
