Office Administrator- Full Time Cyber Defense Technologies Saint Petersburg, FL Overview:
CDT is seeking to add a customer focused full-time Office Administrator to join our team onsite in St. Petersburg, FL. This position is on-site five days a week. This position reports to the Director of Operations in VA and works closely with all employees at the St. Petersburg office to meet local requirements.
Clearance Requirements:
No clearance is required. Must pass a 7-year background check.
Responsibilities:
Provide administrative support to ensure efficient operation of the office. Coordinate and schedule meetings, appointments, and travel arrangements for local employees, customers, as we as visiting staff and leadership. Assist with Executive/VP level travel arrangements, scheduling and expense reporting. Handle incoming calls, emails, and correspondence professionally and efficiently. Maintain and update office records and physical inventories ensuring accuracy and accessibility. Make copies, collate, and general filing or records management as necessary. Effectively manage the coordination of material shipping and receiving. Manage incoming and outgoing mail and packages via FedEx, USPS, UPS. Liaise with building manager; submit facility maintenance requests through the building management portal. Manage an office allowance for provisions and morale events. General office upkeep (i.e., keeping things organized, taking out trash, etc.) Communicate daily with the CDT operations team based in VA Compile information and publish a monthly newsletter for the company highlighting important topics as directed by senior leadership. Plan and execute internal and external events, including logistics, budgeting and vendor coordination. Develop and maintain documentation for turnover. Other general assistant type duties as requested by the leadership team.
Qualifications:
Proven experience as an office administrator, administrative assistant, or similar role. Proficient in Microsoft applications and Adobe. Exceptional organizational and interpersonal skills Detail-oriented with high level of accuracy and attention to detail. Ability to handle confidential information with discretion.
