WHAT YOU WILL DO
The Office Manager is a exempt position responsible for providing support to Program Director and Assistant Program Director with administrative matters as well as oversee kitchen, housekeeping, and maintenance staff for the UC Program.
Supervisor Responsibilities:
Oversee kitchen, housekeeping, and maintenance staff
Duties and Responsibilities:
Ensuring the Program Director is aware of any concerns regarding the UC Shelter
Completing all purchasing for both the children and program operations in conjunction with the Purchasing Department
Review incident/accident reports, memos, letters, and program forms
Assist Program Director with petty cash funds and related records
Monitor children’s incentive closet
Answer phones and make copies when necessary
Take minutes of meetings as required
Ensure that accurate records are being kept and processed within established timeframes (i.e. daily permanent register, discharges, room charges, admissions, and monthly program narrative reports)
Responsible for all mail being properly sent to and received from family members and children in our care
Develop correspondence, weekly reports, memos, and the implementation of the Director’s internal directive
Perform all other duties as assigned

WHAT YOU WILL NEED
High School graduate or equivalent
Must have three (3) years of office experience and two (2) years of experience working with children
Type 50 wpm and working knowledge of shorthand
Strong communication and writing skills
Knowledge of office equipment and procedures
Proficient in Microsoft Office Suite and use of a smart smartphone for work tasks
Participate in at least 10 hours of continuing education/training per year
Must obtain CPR and First Aid Certification within the first 12 months of employment
Ability to lift/carry case files, activity supplies, donations, etc., up to 25 pounds
Must be able to work in stressful situations
Proof of Immunization for: Varicella (2 doses), MMR (2 doses), Influenza (1 dose yearly), and Tdap (1 dose)
Bilingual Spanish/Haitian Creole/ English, which are the client’s spoken languages, are preferred
Use of a personal vehicle to transport clients as needed.
Must have a valid driver’s license with current auto insurance coverage
