Job Description

Description We are looking for an experienced Office Manager to oversee administrative operations, customer service, and accounting functions in a fast-paced environment. This contract position is based in Sarasota, Florida, and offers an opportunity to work within the service industry while collaborating with various departments to ensure seamless office management. The role requires a detail-oriented individual who can lead teams, maintain accurate financial records, and uphold high standards of customer service.

Responsibilities:
  • Supervise daily administrative tasks, including billing, collections, payables, payroll, and HR functions.
  • Collaborate with billing clerks to ensure all customer invoices are accurate and processed on time.
  • Prepare and input monthly journal entries related to billing and revenue.
  • Manage the credit processing procedures and oversee customer service operations, including staff training and scheduling.
  • Monitor accounts receivable, generate weekly reports, and develop action plans to improve cash flow.
  • Ensure proper segregation of duties and oversee timely deposits for local payments.
  • Reconcile disposal invoices with dispatch system records and ensure compliance with franchise reporting requirements.
  • Assist in gathering financial and statistical data for productivity reporting and operational analysis.
  • Support payroll and HR functions to guarantee timely and precise processing.
  • Maintain professionalism in all communications with customers and employees. Requirements
  • Proven experience in office management, particularly within accounting and administrative functions.
  • Proficiency in accounting software systems such as ADP, Concur, and CRM tools.
  • Strong knowledge of accounts payable (AP) and accounts receivable (AR) processes.
  • Ability to manage customer service teams, including training and performance evaluation.
  • Excellent organizational skills with the ability to handle multiple tasks and deadlines.
  • Familiarity with financial reporting and reconciliation processes.
  • Effective communication skills to interact professionally with staff and clients.
  • Experience with payroll and HR systems is highly desirable.
