Office Manager/Secretary Preferred property care 119 Corporation Way, Venice, FL 34285 Job Overview We are seeking a highly organized and detail-oriented Office Manager/ Secretary to join our team. The ideal candidate will serve as the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires strong time management skills and the ability to handle multiple responsibilities efficiently. Responsibilities Manage incoming calls, emails, and correspondence, directing inquiries to the appropriate personnel. Maintain organized filing systems, both electronic and paper-based, ensuring easy access to documents. Perform calendar management, scheduling appointments and meetings for staff as needed. Provide support as a personal assistant to executives or team members, managing tasks and priorities effectively. Utilize QuickBooks for basic accounting tasks, including invoicing and tracking expenses. Ensure the office environment is well-maintained and equipped with necessary supplies. Assist with clerical duties such as data entry, document preparation, and report generation. Assisist with building a team , Placing adds, Background checks, assist with interviews To hire for several positions. Qualifications The ability to start and finish different tasks at hand. Follow through is a must, Strong computer literacy with proficiency in Microsoft Office Suite and QuickBooks. Excellent time management skills with the ability to prioritize tasks effectively. Strong organizational skills with attention to detail in filing and documentation processes. Ability to work independently as well as collaboratively within a team environment. Exceptional communication skills, both verbal and written, to interact professionally with clients and staff. Previous experience in a personal assistant or Office management role is a plus but not required.
