Position Overview:

We are seeking a Financial and Contract Administrator who is detail-oriented, highly organized, and experienced in QuickBooks Online , bonding , and government contracts . This role is essential to managing our financial records, ensuring contract compliance, handling lien and bonding documents, and actively driving timely payments from clients.

Key Responsibilities:

Maintain accurate, up-to-date financial records in QuickBooks Online Track job costs, vendor payments, and client billing across multiple projects Prepare and send out client invoices; follow up to ensure timely payment Manage and track Notice to Owner (NTO) and lien release processes, ensuring legal compliance and protecting payment rights Monitor lien deadlines and file documents with appropriate agencies when needed Oversee contract documentation from bid to closeout Review subcontractor agreements, ensuring all documentation is in order before work begins Ensure government contract compliance , including specific billing formats, documentation, and reporting Support MWBE documentation and renewal processes Maintain a well-organized digital filing system to ensure all contracts, financials, and compliance records are easily accessible and audit-ready

Requirements:

Strong proficiency in QuickBooks Online (min. 2 years experience) Familiarity with construction lien law , Notice to Owner (NTO) processes, and lien waivers Experience with bonding Understanding of government contracts , including procurement, compliance, and billing expectations Excellent organization, time management, and follow-through skills Ability to work independently and follow projects through from contract to payment Prior experience in a construction, contracting, or related industry

Preferred Qualifications:

Knowledge of lien rights in Florida Experience with state, county, or municipal contracting requirements Familiarity with

MWBE/DBE

certification compliance and reporting Skilled with Excel for tracking Experience using platforms such as SAM.gov, Bonfire, or DemandStar is a plus
