Full Job Description Position Overview:

We are seeking a reliable, experienced, and detail-oriented Office Manager to oversee the daily operations of our busy fumigation and pest control office. This role is critical to ensuring smooth administrative, financial, and compliance operations, while also supporting our field team and maintaining strong relationships with our clients.

Key Responsibilities:
Administrative & Operations Management:

Supervise and coordinate daily office operations. Manage customer inquiries, scheduling, and follow-ups for fumigation services. Provide service invoices and fumigation certificates. Dispatch and coordinate technicians for service appointments. Process and maintain accurate records of service orders, payments, and client documentation. Answer calls and emails; ensure prompt and professional communication with clients. Monitor and manage office budgets, supplies, and cleanliness; coordinate maintenance and cleaning services. Organize buying trips and restock inventory and office supplies. Maintain office appliances and equipment; ensure safety and functionality.

Compliance & Licensing:

Keep company and technician licenses current; renew on time. Track CEU hours; schedule training for fumigator license renewal. Maintain compliance with all local/state pest control regulations. Renew business GL, WC, and auto insurance policies annually by April 2nd. Manage vehicle registration renewals and oversee company fleet (Rhino Fleet).

Finance & Customer Accounts:

Receive and process customer payments; manage outstanding balances and arrange payment plans. Maintain accurate financial records using QuickBooks (QB knowledge required). Generate and analyze daily, weekly, and monthly management reports.

Human Resources:

Interview, hire, and onboard new office staff; ensure compliance with state and federal regulations. Track employee hours and attendance; approve PTO and timecards for payroll by every Wednesday. Liaise with accounting for payroll processing and benefits. Counsel employees as needed; document HR concerns in coordination with employment attorney. Administer 401(k) plans; coordinate enrollment and payroll deductions. Assist the owner with administrative tasks, special projects, and day-to-day business needs.

Marketing & Brand Management:

Support marketing efforts through follow-ups and customer outreach. Represent the company brand with professionalism in all customer interactions.

Qualifications:

Proven experience as an Office Manager or similar role, preferably in pest control or a service-based industry. Strong multitasking and organizational skills. Proficient in Microsoft Office Suite (Word, Excel, Outlook) QuickBooks and Google Workspace. Excellent communication skills—both verbal and written. Self-starter with the ability to work independently and as part of a team.

Preferred Skills:

Knowledge of fumigation or pest control industry practices and compliance. Familiarity with pest control licensing, CEU tracking, and certification renewal processes.
