Job Description

Office Manager NEI Energy Ball Ground, GA 30107 Overview We are seeking a highly organized part-time office manager to oversee the daily operations of our office. The ideal candidate will have the ability to handle a range of tasks with limited supervision. This is a part-time position with a possibility to turn into full time in the future. Duties Create customer jobs in procore, create and gather all documentation like hospital forms, insurance certs, etc Handle hotel reservations for our employees in the field Order equipment Order material Send daily logs to customers on daily basis Create change orders Fill out and send AIA pay apps either weekly or monthly depending on customer Accounts Payable Enter bills and credits in Quickbooks Send out weekly A/P report Pay bills in QB, mail checks Report subcontractor hours on weekly basis, enter bill in Quickbooks, make weekly deposit at their bank Accounts Receivable Weekly and month end billing (depending on our customer)-Filling out AIA pay apps, entering into QB Receive payments in Quickbooks Deposit any customer checks into bank account if needed. Send monthly statements to customers Follow up on past due invoices Payroll Enter employee hours on payroll spreadsheet Go through employee receipts Send payroll weekly to owners for review Submit to payroll company, make edits and/or approvals FedEx/UPS employee paycheck on weekly basis Other Tasks Go through mail, handle as needed Put in office supply order Employee onboarding Annual insurance audit, annual insurance renewal Assist employees with email issues Any other tasks as assigned Requirements Proven experience in an office management role or similar administrative position. Strong organizational skills with the ability to multitask effectively. Excellent communication skills, both written and verbal. Strong problem-solving skills and the ability to work independently as well as part of a team. Must be able to pass a background check Must have 1+ year experience with Quickbooks online Must have 1+ year experience with Microsoft Office and Adobe Acrobat Must be a Georgia notary or possess the ability to become one Knowledge/experience with Procore desired Knowledge/experience with AIA pay apps highly desired
