Oryza Assistant Office Manager:

Manage daily office operations, ensure smooth workflow and efficient organization. Coordinate office meetings and events, including scheduling, logistics, and provision of necessary materials. Handle correspondence, including drafting emails, memos, and letters, US mail/UPS/FedEx, ensuring timely communication within and outside the organization. Prepare office budgets for your department and manage purchasing and expenditures. Maintain a sufficient inventory of various supplies and recommend procurement of order new equipment to Oryza Leadership. Resolve issues with the building and facilities, such as needed maintenance or emergency repairs as required. Provide general office support to the company’s employees. Focus on scheduling appointments, greeting visitors, making and picking up office supplies orders. Assist Oryza Leadership in various tasks such as planning, organizing, and coordinating office operations and procedures.

Specific tasks as required:

Office operations: Office Manager work, filing and accounting for Oryza documentation, create a system for hard copy folders in accordance with the Oryza ISO standards, File and secure Bank Statements (by bank), file and track CC statements (by card), track and ensure payment of office bills (by Vendor) ? once approved. Maintain accountability of Oryza payments done by credit card via an electronic payment log.

Business Operations :

Support Oryza Leadership with weekly, monthly, and annual business operations requirements. These are as follows but limited to: are maintained ? track payments, by customer and payment log, State Correspondence. Track business licenses and accounts by state (Workman comp, taxes, etc) and by state agency. Support Oryza mail operations – open, sort, prioritize payments, take action, file/file copies. Manage the PO box if required. Post Office drops

Finance Support Operations :

Support Oryza leadership in track bills (hard copy and digital), use Truist account access to ensure timely pay bills, enter non-Truist tax account vendors into Fraud Protection system. Bank Deposits at local Branch, transport material to accountant for delivery and or pickup

Human Resources Support:

Support Oryza Leadership in employee as required – Enter New Hire data, I9 data collection, E-Verify entry, Benefit Election, pull resumes as required by OPS manager. Post job announcements, create/update offer letters, on-board new hires in Paychex or current HR environment.
