Emanuel County Outpatient, Swainsboro, GA The Community Service Board of Middle Georgia is seeking a professional candidate to serve as Office Manager at our Emanuel Outpatient Clinic in Swainsboro, GA. This is a very busy environment and requires superior organizational skills, the ability to multi-task and prioritize daily activities. Responsible for the day-to-day administration duties and office procedures of the Emanuel Outpatient Clinic. The Office Manager is responsible for delivering the quality of care, service excellence, and professionalism. To provide superior quality, competitive value, and outstanding service by assuming responsibility for the overall leadership of the front office staff. Administrative Support and Front Office Coordination Promptly answer front office phones by the third ring; provide phone coverage when the primary staff is on another call. Serve as a back-up for the receptionist, switchboard operator, and other administrative roles on a PRN (as-needed) basis. Assist the supervisor with special projects, data collection, and general administrative duties. Client Intake and Documentation Management Process new client intakes on Mondays and Wednesdays , including scheduling and document scanning. Monitor the document scan folder to ensure timely processing and maintain an empty queue; assist with scanning during high-volume periods. Retrieve and distribute incoming faxes to appropriate staff members. Ensure required provider and MD signatures are obtained on clinical documentation. Quality and Compliance Monitoring Monitor Key Performance Indicators (KPIs) and crisis reports ; work to maintain clear and updated “unposted appointments” reports. Follow up on hospital discharges (non-state) and support client monitoring through callbacks and follow-ups. Verify and update client information (e.g., phone numbers, addresses) during check-ins or appointment scheduling; update EMR accordingly. Scheduling and Appointment Management Oversee physician schedules; print weekly schedules to ensure accuracy and continuity, filling gaps where needed. Schedule follow-up appointments after clients see providers; monitor and reschedule no-show appointments within 48-72 hours. Contact no-show clients to reschedule; send no-show letters as necessary and document all communication attempts in the EMR. Communication and Coordination Act as a liaison between front office staff and supervisors to ensure smooth clinic operations. Communicate with pharmaceutical representatives to coordinate lunch & learns and other events. Schedule staff meetings, add them to calendars, and attend Utilization Management (UM) meetings and staff trainings. Compliance and Record-Keeping Assist in ensuring clients have up-to-date BPS assessments, consents, safety plans, releases of information, and other essential documents. Complete and submit the monthly organizational chart to Ellise Tapley at Building 1, Dublin. Retrieve and process OPA signatures from staff for new and updated OPA forms. Document all client communication (e.g., appointment reminders, no-shows) in non-billable progress notes; scan mailed letters into EMR. Inventory and Supplies Management Monitor and restock office, cleaning, and
