Position Summary We are seeking a proactive, detail-oriented, and highly organized Office Administrator & Executive Support Specialist to join our team. This individual will be responsible for ensuring the smooth daily operations of our Atlanta Corporate Headquarters while providing high-level administrative support to the executive leadership team. The ideal candidate thrives in a dynamic environment, is tech-savvy, and can juggle multiple priorities independently with discretion and professionalism. This is a role with high growth potential within 1-2 years for an exceptional candidate. Our hybrid schedule includes four days in the office and one day working from home. However, this role requires flexibility, as there may be times when being in the office up to five days per week is necessary based on business needs.
Key Responsibilities:
Executive Support Provide direct administrative support to the executive team, including calendar management, meeting coordination, and travel arrangements. Prepare meeting materials, presentations, reports, and agendas. Maintain confidentiality of sensitive information and communications. Assist with special projects, research, and ad hoc reporting as requested by executive leadership. Track and process expense reports and reimbursements in a timely manner. Office Administration Oversee daily office operations to ensure a clean, organized, and efficient workplace. Serve as the primary point of contact for office-related vendors (e.g., supplies, maintenance, deliveries, etc). Coordinate meetings, company events, and onsite/offsite logistics, including catering and travel arrangements. Support onboarding and offboarding of employees, including access card coordination. Manage inventory of office supplies and equipment; place orders as needed. Liaise with building management regarding facilities, security, and compliance needs. Requirements:
2+ years of experience in office administration and/or executive support roles. Bachelor’s degree in Business Administration, Communications, or related field. High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams). Exceptional written and verbal communication skills, with the ability to draft professional correspondence and presentations. Proactive mindset with strong problem-solving skills and attention to detail. Excellent communication, organizational, and interpersonal skills. High-energy, personable, and consistently fosters a welcoming environment. Ability to manage time effectively and prioritize tasks in a fast-paced environment. Strong attention to detail and commitment to high-quality work. Demonstrated ability to handle confidential information with integrity and discretion.
Preferred:
Experience supporting C-level executives. Familiarity with travel booking and expense reporting systems (e.g., Concur). LI-JC1
