Office Manager 3.7 3.7 out of 5 stars Snellville, GA Medix is currently hiring for a full-time Office Manager at a close-knit medical clinic in Lilburn, GA! No weekends or Holidays!

JOB DESCRIPTION

HR/Personnel Duties Supervises and coordinates the activities of practice personnel at satellite office. Approves all sick and emergency leave in accordance with practice policy. Establishes and schedules vacations for all satellite office employees. Facilitates the recruiting, hiring, development and evaluation of satellite office staff. Checks references for all potential new hires. Performs employee evaluations for satellite office. (90 days and annually) Creates and administers on-the-job training programs for new satellite office employees as required. Coordinates with Administrator and Administrative Assistant to maintain records for health insurance and other employee benefits. Regulatory Duties Monitors the satellite’s office compliance with various regulatory personnel issues including compliance with FLSA, EEOC, ADA, HIPAA, OSHA, etc. Scheduling Administrative Duties Attends Monthly Board meeting with Administrator and Physicians. Schedules and conducts periodic staff meetings with the satellite office employees to inform the staff of changes in the practice policy and to resolve problems which are affecting operating effectiveness. Prepares and retains minutes of such meetings. Coordinated the competitive bid for capital equipment and routine supply purchases for the satellite office. Maintains overall neatness and cleanliness of satellite office by instructing staff and monitoring cleaning company effectiveness. Supervises the purchase of all office supplies for the satellite office location with advance approval from the physician on items over $1000.00. Maintains record of orders placed and orders received. Monitors expenses. Reviews all invoices received from the various vendors with which the satellite office does business. Checks invoices for accuracy and sends them to the Main Office for preparation of payment. Marketing Duties Assist in coordination of all civic activities of the practice. Coordinate marketing and gratuitous measures to ensure referral base maintenance. Participates in practice development activities. Financial Duties Prepares any monthly system reports for the satellite office, as requested. Ensures that all financial systems are computerized and maintained. Responsible for (maintains and controls) petty cash and change funds. Ensures competitive bids on capital equipment and routine supply purchases for the satellite office. Ensures accuracy of invoice totals for medical and office supplies and forwards invoices for payment to Main Office. Information Technology Duties Assists Administrator in ensuring computer system at the satellite office is operating at maximum efficiency. Develop an in-depth knowledge of the practice management and the electronic healthcare record software through online tutorials and day-to-day experiences watching both the staff and medical providers. Develop ability to be a “first responder” for both hardware and software issues with the ability to fix minor problems having to do with printers as well as other hardware and software issues. Billing/Accounts Receivable/Collections Duties Counsels patients or a family representative about insurance and fees when required. Reviews accounts for possible referral to collection agency or for bad debt write-off,; makes recommendations to Practice Administrator and physicians. Turns accounts to collection agency after review and approval by physicians. Attends periodic Billing Dept. Meetings. Supervisory/Administrative Duties Monitors Staff to make sure that all internal checks and balances are operating efficiently. Attend managed care/coding seminars, as requested. Performs other related duties as required. Maintains strict confidentiality. 3-5 Must Have Skills/Qualifications Graduation from a recognized college or university. Four or more years of progressively responsible experience in a hospital, business office, or multi-physician medical practice is desirable. Possess the tact to deal effectively with patients, physicians and other employees of the practice. Possess the initiative and drive to take a project from its inception to a successful conclusion.
