Job Description:
The Office Manager will play a pivotal role in maintaining an efficient and organized office environment. This role requires an individual who is proactive and capable of managing multiple responsibilities, including financial tasks and various coordination activities.

Key Responsibilities:
- Oversee and support all administrative and operational duties to ensure a seamless-running office.
- Manage accounts payable and receivable to ensure timely processing of financial transactions.
- Handle receipt processing, verify invoice details, and manage precise transaction records.
- Prepare and manage quotes for clients, ensuring accuracy and timely delivery.
- Coordinate and oversee project management activities to ensure projects are completed on time and within budget.
- Manage scheduling and dispatching to facilitate efficient operations and deployment of crews.
- Successfully close out completed projects, ensuring all documentation and reports are accurate and submitted.
- Track and manage training certifications for employees, scheduling renewals as needed.
- Schedule and track truck services to ensure all company vehicles are maintained in excellent working condition.
- Develop, implement, and uphold office policies and procedures.
- Facilitate the onboarding process for new hires and coordinate office setup.
- Maintain schedules, deadlines, and ensure timely communication within teams.
- Support the planning and execution of company events to enhance team engagement.
- Handle phone communications with professionalism, ensuring excellent phone etiquette is maintained.

Qualifications:
- A bachelor’s degree in Business Administration, Finance, or a related field is preferred.
- Proven experience as an office manager, project coordinator, or similar role.
- Experience with accounts payable, receivable, and financial processing.
- Familiarity with quoting, scheduling, dispatching, and project management processes.
- Proficiency in MS Office Suite (especially Excel and Outlook) and familiarity with accounting or project management software.
- Exceptional time management abilities with a strong ability to prioritize tasks.
- Keen attention to detail and problem-solving skills.
- Effective organizational abilities in a fast-paced setting.
- Innovative thinker with a knack for proposing process improvements.
This position will initially be part-time, with the potential to transition to full-time upon the successful completion of training.
