Hourly, Non-exempt •Pay will vary depending on various factors including location and level of experience.• Job Objective The Office Administrator supports day-to-day office functions with a primary focus on shipping and receiving, documentation, and operational systems such as Metro.
Aero. This role provides key assistance in processing purchase orders, managing invoices, and maintaining accurate inventory and compliance documentation. The Office Administrator ensures seamless execution of administrative tasks in support of production and quality assurance. Essential Functions Maintain and record minimum inventory levels, ensuring alignment with purchasing requirements. Periodically check shelf-life status of inventory units and verify correct labeling. Generate and track purchase orders, work orders, sales orders, and RMAs. Utilize Metro.
Aero to manage inventory records and job documentation. Perform receiving inspections, verifying shipments for visual damage and accuracy against purchase orders. Process and maintain accurate records for all shipping and receiving activities. File, scan, and preserve shipping and receiving paperwork per NFDS Quality Manual. Create and maintain accurate invoices and billing documentation. Maintain current vendor W-9 documentation and track vendor survey responses. Support document control including regular updates to NFDS forms and records. Routinely review purchasing, sales, RMAs, invoicing, vendor audits, and customer records for accuracy and completeness. Prepare and support weekly accounting tasks, mail handling, and NFDS reports (monthly, quarterly, annual). Assist with internal communication and coordination between inventory, manufacturing, and quality teams. Perform additional duties as required.
