Job Description
The Office Manager will be responsible for performing basic bookkeep responsibilities, overseeing administrative functions, managing office procedures, supporting project documentation, handling client communications, and assisting leadership with coordination and planning. This person plays a critical role in keeping our day-to-day operation organized and efficient.
Responsibilities:
Basic bookkeeping and accounting Oversee daily office operations including phones, filing systems, and supply management Track and organize project documentation (contracts, timesheets, invoices, COIs, etc.) Prepare and process billing, purchase orders, and expense reports Maintain office compliance with internal and external regulations Manage invoicing of customers in coordination with construction project managers Monitor and manage timekeeping for various projects Coordinate inbound and outbound office mail Manage and execute payroll activities through QuickBooks Online Record employee information per HR and personnel manager
Qualifications:
Proven experience as an Office Manager/Administrative Assistant Familiarity with accounting, construction billing, project documentation, and QuickBooks Online Proficiency in Microsoft Office (Word, Excel, Outlook) and office management tools Strong communication skills Strong ability to multitask Friendly and upbeat demeanor
