POSITION SUMMARY:

The Office Manager (OM) – is an individual that will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and expectations. The OM is responsible for developing office communications protocol, streamlining administrative procedures, office inventory control, office staff supervision and task delegation. In addition to these tasks this individual must also be willing to assist with other miscellaneous tasks around the office and facility.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Point person for mailing, shipping, supplies, equipment, bills and errands. Organize and schedule meetings and appointments Partner with HR function to maintain office policies and procedures as well as assist in handling on boarding of new employees Coordinate with IT on all office equipment Provides general support to all visitors. Works together with administrative assistant in ensuring that all GVT visitors are welcomed and are made to feel important. Will be responsible for managing office supply inventory and ensuring that supplies are available and not overstocked. Approve and manage time of administrative assistants. Allocate tasks and assignments to subordinates and monitor their performance. Ensure that Administrative Assistants are being well utilized and times are legitimate and honest. Ensure top performance of office staff by providing them adequate coaching and guidance. Ensure accurate and timely invoicing of all jobs. Ensure all invoicing documentation is filed and tracked Works professionally with Corporate level accounting to ensure that invoicing is done accurately and in accordance with Company policies and procedures. Manage and maintain proper documentation inside of the facility to ensure proper daily functions. Directly assists the Facility Manager in daily job requirements and needs.

OTHER DUTIES AND RESPONSIBILITIES

Participates in Global Vessel and Tank Safety and Quality programs Performs other duties as assigned by Manager. Always exemplifies Leadership and Professionalism.

QUALIFICATION REQUIREMENTS

Basic understanding of Microsoft programs A working knowledge of computer skills Proficient in Global Vessel and Tank software programs Proven office management and administrative experience Excellent time management skills and the ability to multitask and prioritize Strong organizational and planning skills Proficient in MS Office Knowledge of Human Resources management practices and procedures Professional communication skills

Job Type:
Full-time Pay:

$20.00 – $22.00 per hour
