Office Manager Hearts of Hearts, LLC Bastrop, LA 71220 Job Overview We are seeking a highly organized and detail-oriented Office Manager to oversee the daily operations of our office. The ideal candidate will be a proactive leader with excellent communication skills, capable of managing various administrative tasks while ensuring a smooth workflow. This role is vital in maintaining an efficient office environment and providing exceptional customer service. Responsibilities Manage office operations, including scheduling, correspondence, and record-keeping. Provide outstanding customer service by addressing inquiries and resolving issues promptly. Maintain and organize office files, ensuring all documents are accurate and up-to-date. Oversee calendar management for team members, scheduling meetings and appointments as needed, as well as staff files and educational requirements are updated. Assist receptionist with patient appointment coordination. Utilize computerized systems for data entry and document management. Proofread documents for accuracy and clarity before distribution. Implement organizational systems to enhance office efficiency and productivity. Train and supervise administrative staff, fostering a collaborative work environment. Skills Strong phone etiquette to communicate effectively with clients and colleagues. Experience as a medical receptionist is preferred but not required. Proficient in computer literacy, including Microsoft Office Suite and other relevant software. Exceptional customer service skills to ensure client satisfaction. Excellent organizational skills to manage multiple tasks efficiently. Strong proofreading abilities to maintain high standards of written communication. Effective calendar management skills to optimize scheduling processes. Previous experience as an office clerk is advantageous but not mandatory. Oversee client intake and implement Plan of Care, in regard to scheduling staff education and placement.
