Office Manager Confidential Hammond, LA 70401 Essential Duties and Responsibilities The Administrative Specialist will be responsible for a variety of administrative tasks. This position is the representative of first impressions for the organization and a professional appearance and demeanor are critical. The individual is responsible for greeting customers and visitors, performing updates of plant reports in a timely and accurate manner, and maintaining plant files for the various departments. The primary duties of an Administrative Specialist include: Handle all incoming phone calls. Maintain the printers and fax machine. Sort and distribute outside mail and correspondence. Greet visitors and verify they comply with policies and procedures. Maintain visitors’ log. Provide professional, confidential administrative support. Manage accurate filing system. Ensure compliance with Corporate Administrative policies and procedures. Enter daily production and sales, receive inventory. Maintain weekly shipping reconciliation. Generate purchase orders and maintain office supplies and equipment. Track all purchase orders, receivers, and invoices. Verify accuracy of invoices and processes for payment in the P.O.system. Monitor cost allocation to correct account numbers. Process freight bills and re-bills customer for freight where appropriate. Check timecards for accuracy. Responsible for ensuring the accurate entry and reconciliation of weekly payroll hours. Reconcile temporary hours to invoices and processes for payment. Process employment verification requests. Core Proficiencies and Skills Administrative Specialists are required to interact with managers, employees, vendors, and customers. Therefore, the following skills and proficiencies are also essential of the position: Ability to maintain regular, predictable, and punctual attendance. Computer usage and typing skills are essential. Excellent verbal and written communication, including the ability to effectively communicate with internal and external customers. Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service. Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.

Work Experience:

A High School Diploma or GED from an accredited institution is required. A minimum of 1 to 3 years in administration.

$48,596.74 – $65,000.00 per year
