The Production Office Administrator is responsible for assisting the Sales team by processing and organizing orders. This includes working with internal sales staff and customers to ensure order accuracy. Must have experience with Microsoft Office programs, particularly Outlook, as well as general office. Experience in the food manufacturing and/or the seafood industry is a plus! Office Administrator Essential Duties and Responsibilities include: Act as the primary point of contact for Sales staff and relaying updates to customers as needed. Creating and verifying international and domestic shipping documents, airway bills and order confirmations. Responding to customer inquiries in a timely manner. Updating and developing shared inventory and other sales-related documentation. Communicating with customers to collect expected orders as needed. Organizing customer orders including, but not limited to, the following: entry into the computer system, allocation of inventories, orchestration of releases, and dissemination of related documentation to necessary parties, coordination of freight and confirmation of order fulfillment. Assisting with documentation of frozen shipments. Entering purchases and sales orders into ERP accounting systems as necessary. Assisting with accounting tasks including invoicing. Reporting directly to customers with confirmations of orders, distribution of required documentation and advisement of pertinent shipment details. This job might be for you if: You’re bi-lingual! We have a very diverse population of workers, customers and suppliers. You have previous office experience, preferably in the seafood or related industry. Experience with Microsoft Outlook, Excel and Word is necessary. You enjoy collaborating with a wide range of skill sets. In this role, you’ll deal with multiple personality types and a wide spectrum of skill sets. You pay attention to the details. This is some of the most important work we do! You have the ability to priority, multi-task and manage time in order to meet deadlines. You have excellent organization, communication, problem-solving, interpersonal and follow-up skills. You’re an early riser – this role has an early start time of 7:00am daily (Monday through Friday).
