Job Description:
GENERAL STATEMENT OF DUTIES

The Office Manager plays a vital role in supporting the Offices of Academic Advising and Family Engagement, reporting directly to the Director of Advising and the Executive Director of Family Engagement. This position is responsible for ensuring efficient administrative operations and providing exceptional service to students and families.

EXAMPLES OF SPECIFIC DUTIES AND RESPONSIBILITIES

Serve as the primary point of contact for visitors to the Advising Center and Family Engagement, offering guidance and information.
Manage incoming phone calls and emails, ensuring prompt and appropriate responses and forwarding to relevant staff as needed.
Assist in budgeting and purchasing processes, adhering to University and Commonwealth protocols.
Coordinate event logistics, including scheduling, planning, and catering arrangements for Advising Center and Family Engagement activities.
Maintain and update websites related to the Advising Center and Family Engagement to ensure current and accurate information.
Manage staff calendars to facilitate efficient scheduling and communication.
Support communication and coordination efforts related to placement testing.
Utilize university content management systems to support the Advising Center and Family Engagement teams effectively.

WORKING CONDITIONS

All work will be performed at a desk with in an office with a provided desktop computer.

Requirements:
MINIMUM QUALIFICATIONS

Proficiency in Microsoft Office Suite. Willingness to learn and adapt to university technology platforms.

PREFERRED QUALIFICATIONS

Bilingual candidates in English and Spanish or English and Portuguese are strongly encouraged to .

Additional Information:

This is a part-time non-benefited, contract position, not to exceed 18 hours per week. The scheduled hours are Monday-Thursday, 9:00-1:30 pm. The pay rate is $23.00 per hour. Additional hours worked outside the regular schedule for events will be adjusted to ensure compliance with the 18-hour weekly limit.
