Position Overview:

We are seeking a highly organized and motivated Office Manager to oversee day-to-day operations and manage the firm’s full-cycle accounting. This is a full-time, in-office role working directly with the CEO and supporting clients and staff across the organization. Responsibilities include bookkeeping, office administration, HR support, vendor relations, and occasional on-site event assistance. This position is ideal for a dependable professional who enjoys structure, thrives on multitasking, and managing administrative functions within a small firm.

Key Responsibilities:

Bookkeeping & Financial Management Manage accounts payable and receivable using QuickBooks Reconcile bank and credit card statements monthly Process payroll and employee benefits via third-party provider Create and send invoices; manage collections and deposits Record and categorize financial transactions Generate and distribute monthly financial statements Process expense reports and issue ACH payments and checks Prepare annual tax forms including W-2s and 1099s Office Management Oversee all administrative functions of the office Manage vendor contracts (insurance, 401K, maintenance, etc.) Develop and enforce office policies and procedures Maintain electronic filing systems and ensure data security Coordinate onboarding/offboarding of staff and interns Organize training, equipment setup, and vendor communication Manage internship program (posting, reviewing, interviewing) Supervise facility operations, IT troubleshooting, and office supplies Plan and coordinate occasional office outings and staff events Provide administrative support to the CEO as needed, including light HR tasks Attend athlete appearances/events to support relationship development

Qualifications:

Bachelor’s degree with 5-7 years of relevant experience in office management and bookkeeping Proficient in QuickBooks, Excel, CRM platforms, and online banking Strong understanding of HR principles and procedures Exceptional attention to detail, discretion, and organizational skills Excellent verbal and written communication skills Able to multitask and manage priorities with minimal supervision Professional, reliable, and customer-focused Familiarity with the sports industry is a plus Willingness to attend athlete events and occasional travel

Job Type:

$50,000.00 – $63,000.00 per year
