Assistant Box Office Manager Waterville Creates Waterville, ME 04901 Assistant Box Office Manager Full Time; Exempt Status Reports to: Box Office Manager Working closely with the Box Office Manager, the Assistant Box Office Manager assists with all aspects of box office operations, including building events, managing ticket sales, auditing events, supervising front line staff, as well as assisting with bank deposits and daily sales reports as requested. This position serves as a secondary managerial support to oversee customer complaints, staffing changes, and other visitor services issues as needed. Essential Duties/Responsibilities Builds events in ticketing software system, ensures performances are ready for sales deadlines and manages seating inventory from build through settlement of event. Provides exemplary customer service by proactively greeting visitors and patrons; processing ticket, concessions, and merchandise sales efficiently and with ease; sets the tone for visitor experience through active visitor engagement, fielding questions, and providing guests with general program information for all divisions in a welcoming and inclusive manner. Assists with ticket sales and front desk coverage during peak workload times and special events. Assists with training of patron services assistant (PSA) staff in the use of Spektrix and execution of customer service transactions; schedules event assistants as requested. Supports the Box Office Manager with the daily reports, bank deposits. In the absence of the Box Office Manager, assumes all scheduling and managerial duties required to ensure adequate staffing of venues and programs; Promptly addresses any sickness or short notice requests from PSA staff. Assists Box Office Manager with additional projects and tasks aimed at improving the box office experience for staff and patrons. Sets up and issues equipment used by the visitor services team including radios, scanners, mobile devices, and any other appropriate equipment. Provides any other support required and step-up support to cover the Box Office department’s essential duties. Ensures a welcoming environment and vibrant visitor experience for all Waterville Creates programs at the Paul J. Schupf Art Center and Waterville Opera House venues. Enforces the WC Code of Conduct with staff, volunteers, and visitors. Proactively greets visitors and patrons; processes ticket, concessions, and merchandise sales efficiently and with ease; sets the tone for visitor experience through active visitor engagement, fielding questions, and providing guests with general program information for all divisions in a welcoming and inclusive manner. Reports all concerns with an appropriate level of expediency to box office manager Shares all patron suggestions and feedback with box office manager. Performs all other related duties as assigned. Knowledge/Skills/Experience Requirements Previous experience in a customer service environment. Previous management experience. Excellent interpersonal skills, positive and enthusiastic demeanor. Creative problem solver; collaborative team player; strong organizational and time management skills. Ability to manage difficult situations with high level of tact and discretion, conflict resolution experience highly desired. Excellent attention to detail with a high degree of accuracy. Familiarity with common computer systems, including Microsoft Office; previous experience with a ticket management system is helpful. Work is required during afternoons, nights, and weekends, as well as during the Maine International Film Festival, Waterville Opera House productions, and Ticonic Gallery + Studios events as needed. Physical Demands/Conditions/Requirements Work is performed in a general office and theater environment. Light lifting (up to 50 pounds) required. Full range of physical mobility including walking, sitting, standing, stooping, carrying, reaching and manual dexterity is required. Computer usage involving repetitive hand/wrist motion is also necessary.
