This role combines bookkeeping, payroll, reporting, and day-to-day support in a close-knit, highly professional environment. The ideal candidate is polished and organized. They should be confident managing a wide range of responsibilities while maintaining accuracy, discretion, and a strong sense of professionalism.

Key Responsibilities:

Oversee bill payments and accounts payable for multiple family members and business entities. Maintain up-to-date bookkeeping and financial records with accuracy and consistency. Reconcile bank accounts and prepare financial reports to support ongoing planning. Manage payroll processing for household staff and office employees. Assist with budgeting, cash flow tracking, and investment-related reporting. Coordinate with external accountants to support annual tax filings. Organize and maintain both digital and physical filing systems for key records. Help develop internal policies and workflows to support office structure and confidentiality. Manage daily communications, including mail, email, and vendor correspondence. Screen phone calls and emails, responding to routine inquiries with professionalism. Coordinate calendars, schedule meetings, and manage ongoing appointments. Support meeting preparation with agendas, note-taking, and follow-up documentation. Arrange travel and handle related logistics for the family and management team. Assist the manager in formalizing the structure and operations of the family office. Maintain positive working relationships with household staff and trusted service providers. Provide general support to ensure smooth and efficient office operations.

Requirements:

Bachelor’s degree in accounting, business administration, or a related field. 5+ years of experience in bookkeeping or accounting. 3+ years of experience providing administrative support. Proficiency in QuickBooks, Microsoft Office, and willingness to learn platforms such as Bill.com and Xero. Excellent verbal and written communication skills. Professional appearance and demeanor. Strong attention to detail, organizational skills, and follow-through. Ability to maintain confidentiality and exercise sound judgment. Comfort working onsite with a small, close-knit team. Experience supporting high-net-worth individuals or executives is preferred.

Compensation:

$60,000 – $70,000, depending on experience. Includes a competitive benefits package.
