Position Purpose Under the guidance and direction of the Senior VP/COO/CFO, the Office Manager provides administrative support to the organization in the following areas: financial bookkeeping and assisting with the processing of accounts payables and accounts receivable, liaison to building management for any office needs, inventory and ordering of office supplies, IT asset inventory, management of phone system, and primary point of contact for guests, along with other duties as assigned. Duties and Responsibilities The following duties are normal for this position. These are not to be construed as exclusive or all inclusive. Other duties may be required and assigned. Provides support to the Accounting and Financial Manager for general bookkeeping and processing of accounts payable and accounts receivable as assigned. Processes both digital and in-person bank deposits. Reviews and/or prepares all travel expense claims in accordance with NJCAA policies. Responsible for accurately reviewing and recording all credit card transactions in accordance with NJCAA policies. Assists in the annual audit as assigned. Serves as the primary point of contact for all visitors to the National Office. Answers phones, reviews mail and disseminates as appropriate. Manages the office phone systems, including set-up, turn-down, out-of-office messages, phone trees, etc. Serves as the liaison to building management for any set-up, cleaning, or repair needs. Ensures the office is clean and presentable to staff and guests at all times. Assist with the coordination of meetings and events at the National Office, including but not limited to IT set-up, building access, meals, etc. Manages the inventory, ordering, and organization for all office supplies. Manages National Office calendar and issuance/return of credit cards and corporate car. Serves as secondary customer service support for all other departments. when additional IT needs and supplies are necessary. Maintains comprehensive and accurate records. Other duties assigned. Associate degree required; Bachelor’s degree preferred with a major/minor in business management or a related field; 2-3 years of professional experience required, bookkeeping experience preferred. Must have excellent time management skills and be efficient and organized with a high level of attention to detail and accuracy. Excellent customer service skills including dealing with difficult customers and conflict management. A good command of Microsoft Office and Adobe Suite. QuickBooks experience highly preferred. The ability to multitask, work in a fast-paced environment, and effectively deal with change. The ability to communicate effectively, both verbally and in writing, to establish positive public relations and to interact effectively with staff, member colleges, athletic directors, and student-athletes. The ability to establish and maintain collaborative, effective working relationships with team members, board members, member colleges, athletic directors, student-athletes, and the public.
