The Office of Undergraduate Education promotes a flexible and hybrid work environment wherever possible. After initial onboarding and training are completed, 1 (one) day of telework schedule per week may be available depending on office needs. Primary Purpose of Position The Office of Disability Services, a Division of the Office of Undergraduate Education, seeks an Office Manager to join our collaborative team. Disability Services works to ensure that students with disabilities have access to education and campus life at Charlotte. Disability Services staff coordinate reasonable academic accommodations for a large population of students with disabilities and serve as a resource to campus partners on disability-related matters. The Office Manager provides administrative support to the department and students with disabilities at Charlotte. This position serves as the first point of contact, providing outstanding customer service for students, faculty, staff and campus visitors face-to-face and digitally. This position also provides additional coverage for the Disability Services Test Center and maintains a working knowledge of its daily operations. This includes monitoring the Test Center and its camera system to help ensure test security and academic integrity. The Office Manager establishes a welcoming environment for a diverse population of students with a wide range of accommodation needs. Candidates will have a high level of professionalism and be able to maintain high levels of confidentiality, discretion, and security to respectfully manage and maintain student files and disability documentation, student staff personnel information and Test Center information.

Minimum Education/Experience Required Minimum Qualifications:

Bachelor’s degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Graduation from a four-year college or university; or an equivalent combination of education and experience. All degrees must be received from appropriately accredited institutions. Essential Job Duties Provides office manager and administrative support for the daily operations of Disability Services. These include, but are not limited to: schedule/manage staff meetings, managing office supplies, including ordering/receiving through 49er Mart; completing all purchasing card and 49er Mart purchases using correct fund and account numbers; managing travel authorizations using Concur platform, assisting with maintaining accurate information on department forms and websites; assist with creating and ordering brochures; enter and manage work requests via campus platform (Archibus). Use and manage office equipment (phones, faxes, copier, etc.) effectively to meet office needs, including surplus and other campus services. Assist the team by participating as needed in events such as final exams and commencement. The Office Manager will supervise, hire, and collaboratively train undergraduate student staff. Processes hiring paperwork for undergraduate and graduate student staff. Sets schedules for student staff and approves student time sheets. Coordinates tasks and manages FERPA agreements for the student staff. Receives and uploads disability documentation in accordance with FERPA for students seeking services; follows up with students for missing paperwork or to confirm services that have been approved. Receives and processes paratransit disability documentation for employees and students. Provides guidance as needed for those approved paratransit users. Maintains knowledge and ongoing training of campus policies and program changes, including legal, staff council, software programs and training, 49er mart forums, Concur, UGE admin meetings, Archibus, OneIT. Other office duties as assigned. Other Work Responsibilities Helps ensure that front office standard operating procedures, guidelines and training stay current. Assists with maintaining approved social media postings. Performs other duties as assigned. Departmental Preferred Experience, Skills, Training/Education Bachelor’s degree; or equivalent combination of training and experience. Two or more years of office management experience. Experience tracking and processing invoices. Experience managing, supervising, and hiring student staff (educational setting preferred). Experience providing a high level of customer service. Proficient in MS Office/Google environment and comfortable learning specialized data management systems. Strong verbal and written communication skills. Strong organizational skills and attention to detail with accuracy.
