We handle the day-to-day work so that client school boards can focus on governance and policy issues to be sure that the vision and mission of the school are being carried out properly. American Leadership Academy – Coastal is accepting applications for an Office Manager (K-6) for the 2025-2026 academic school year. Candidates must be willing to undergo a background check. Responsibilities include but are not limited to: Provide comprehensive administrative support to the school principal, staff, and faculty. Manage and organize the school’s office operations, including scheduling meetings, handling correspondence, and maintaining records. Serve as the primary point of contact for students, parents, and visitors, addressing inquiries, concerns, and requests. Handle student enrollment and registration processes, including maintaining accurate student records and documentation. Coordinate and manage parent-teacher conferences, school events, and other activities involving families. Oversee daily office operations, including managing office supplies, equipment, and ensuring the office environment is organized and professional. Implement and maintain office procedures and systems to enhance efficiency and productivity. Coordinate and supervise the work of office support staff or student aides, if applicable. Assist with budget management and financial record-keeping, including processing invoices, managing petty cash, and handling purchase orders. Maintain accurate records of financial transactions and ensure compliance with school and district financial policies. Draft, proofread, and distribute school communications, including newsletters, announcements, and memos. Coordinate with various departments, staff members, and external organizations to ensure smooth operation of school activities and events. Maintain and update school databases, including student information systems and staff directories. Ensure accurate and confidential management of student records, including attendance, health information, and academic records. Prepare and maintain reports, forms, and other documentation required by the school administration or regulatory bodies. Assist in planning and organizing school events, such as assemblies, field trips, and extracurricular activities. Manage event logistics, including coordination with vendors, arranging transportation, and handling related paperwork. Ensure compliance with school policies, district regulations, and state or federal guidelines. Keep abreast of changes in regulations and policies, and implement necessary updates within the office. Provide administrative support to teachers and staff, including preparing materials, managing schedules, and handling other administrative tasks as needed. Assist with staff onboarding, including processing new hire paperwork and coordinating orientation. Manage and maintain student health records and ensure compliance with health and safety regulations. Coordinate with school health professionals to address health-related issues and emergencies. Handle sensitive and confidential information with discretion and professionalism. Uphold the highest standards of integrity and confidentiality in all aspects of the role. Other duties as assigned.
