Position Description :
The Office Manager provides administrative support for program staff, and clergy. Oversees weekly production of communication projects, and manages the main church office.
Essential Functions:
Office Duties Manage and coordinate service for copier, folding machine and cutter Maintain church calendar and building schedule Enter, maintain, and oversee event calendar Coordinate with staff (including weekly staff meetings) regarding facility requests Notify AV Coordinator via schedule about events where AV is needed Manage phone holiday messaging Help those visiting office if volunteer can’t help them Make sure the office is covered from 9 a.m. – 4 p.m. Production Proof communication materials in coordination with volunteers and staff Oversee weekly production of bulletins (worship, funeral, special events) Constant Contact Maintain email listservs Upload email listservs to Constant Contact every week Proof and edit Thursday email Proof and edit memorial emails and other special emails Oversee production and volunteer teams for bulk newsletter mailings Oversee production of seasonal communications (stewardship, senior adult newsletter) Office Volunteer Management Develop and maintain a current list of volunteer opportunities/activities Develop and improve volunteer identification and recruitment Maintain schedule of volunteers and subs during weekdays Train, integrate and oversee church office volunteers Answer telephones when a volunteer is not available Minimum Qualifications Physical Requirements Physically able to perform basic office type functions, sit at a desk for much of the day, operate computer equipment, greet visitors and answer telephones. Must be present in the office. This position is not a work-remotely position. Core Competencies Capable in Constant Contact, Microsoft Office 365 (Word, Excel), Realm database, typing skills, Word-Processor skills, familiarity with Adobe Creative Cloud, specifically InDesign and/or Illustrator, telephone experience, file maintenance, scheduling, organization experience, handling confidential information, professing to Christian beliefs and ability to initiate and anticipate the needs of the program staff. Role-specific Understanding the role of scheduling and interacting with volunteers working daily in the church office. Ability to multi-task and keep deadlines across differing program areas. Detail-oriented. “Customer-oriented” where customer could be church member, someone visiting for a meeting or an unsheltered person looking for assistance. Able to handle interruptions.
