Office Administrator 4.3 4.3 out of 5 stars Elizabeth City, NC 27909 The responsibility of this position is to oversee all church office operations. Duties include performing all clerical and secretarial duties required by the Minister and assisting various church committees and groups within the church.
GENERAL DATA

Hours:
20 hours/week, 9:00 am-1:00 pm Monday through Friday. 2.

Benefits:
This is a part-time position with limited benefits. The Secretary receives one week (five workdays) of paid vacation during each calendar year of employment, as well as personal leave granted at the discretion of the Senior Pastor. 5.
Confidentiality:
This position involves the receipt of highly confidential information that is protected by the Clergy-Parishioner Privilege. The Secretary shall not disclose any information to anyone about information which they receive incident to employment, except as authorized by the Senior Pastor.
DUTIES:
1. Performs all the general secretarial work, including all typing and copying as required by the Senior Pastor and the chairpersons of the governing committees of the church. 2. Answers the telephone, taking and delivering messages. 3. Answers the remote doorbell, screens access to the church, and screens all calls and walk-ins who wish to see the Senior Pastor. 4. Informs the Senior Pastor of all membership-related matters such as sickness, hospitalizations, and deaths. 5. Email reminders of meetings to the Senior Pastor and the committee members. 6. Assists with the preparation of the Sunday bulletins and any additional bulletins necessary. Bulletins are to be placed on the desk in the outer office for ushers. 7. Coordinates and processes all outgoing mailings. 8. Uses the computer and copier to do all the daily office chores. 9. Keeps the bereavement committee informed of any member’s death. 10. Takes custodian reports regarding maintenance issues and reports those issues to the Senior Pastor. 11. Receives custodian reports for needed supplies and orders supplies from approved vendors. 12. Keeps most church and office supplies inventoried, ordered, and stocked. 13. Process all memorials and honorariums and mail out the cards (special gifts, also). 14. Keeps the file on all weddings held in the church. 15. Responsible for electronically transferring all required and requested data to the Conference Office. 16. Processes special fund distribution requests to the appropriate committee and foundation chairpersons. 17. Assists the Preschool Program in whatever area of clerical office-related needs that may arise, such as making tuition deposits and assisting with clerical/copying requests. 18. Keeps all membership books up-to-date (changes due to transfers in or out, death, etc.) 20. Conducts all matters of the church in a professional and “business-like” manner. 21. Maintains the Church calendar. 22. Correlates all Church files for easy access. 23. Prepares the Weekly E-news through MailChimp. 24. Performs other duties as assigned by the Pastor.
