Office Manager The Mackowsky Visual Learning & Rehabilitation Clinic 4505 Fair Meadows Ln, Raleigh, NC 27607 Job Summary We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure a seamless workflow within our office environment. The ideal candidate will possess strong customer service skills and have experience in administrative tasks, providing support to both staff and clients. This role is essential in maintaining a positive atmosphere and enhancing the overall efficiency of our office. Responsibilities Manage front desk operations, greeting visitors and handling inquiries with professionalism. Maintain organized records and files, ensuring all documentation is accurate and up-to-date. Utilize Quick Practice for scheduling, communication, and document management. Provide administrative support, including proofreading documents and preparing reports. Handle customer support inquiries, addressing concerns promptly to ensure satisfaction. Oversee financial transactions using Quick Practice, including invoicing and expense tracking, filing insurance. Coordinate office supplies inventory and place orders as necessary to maintain stock levels. Assist with onboarding new employees and training staff on office procedures. Ensure compliance with company policies and procedures while fostering a collaborative work environment. Requirements Proven experience in an office management or administrative role. Strong customer service skills with the ability to communicate effectively with diverse clientele. Proficiency in using Microsoft applications (Word, Excel, Outlook). Familiarity with QuickBooks or similar accounting software is preferred. Excellent proofreading skills with attention to detail in all written communications. Ability to multitask effectively while maintaining a high level of organization. Previous experience in a healthcare setting is a plus but not required.
